Getting started

What is Tender Tracker?

Tender Tracker is bid-tracking software built specifically for construction estimators. It gives your team a single board to manage every active tender — with closing dates, addenda counts, sub-trade quotes, and supplier contacts — so nothing falls through the cracks on bid day.

Tender Tracker is designed for general contractors, trade contractors, and construction estimating teams of any size.

How do I start?

Sign up for a free 30-day trial at the link below. You create a workspace, invite your team, and start adding tenders immediately. No credit card is required to start.

Does Tender Tracker work for both GC and trade contractor teams?

Yes. Each workspace has a workflow type — GC mode or Trade mode — chosen at signup and changeable later by admins. In GC mode, the sub-trades panel groups contacts by trade category and tracks quote amounts per trade. In Trade mode, the suppliers panel carries the same group-and-quote structure. The rest of the workflow is identical.

Bid tracking and addenda

How does the bid board work?

Every tender appears as a row on your board. Each row shows the project name, client, bid closing date, addenda count, and current status (Active, Extended, Closed, Won, or Lost). You can expand any row to see notes, subs, suppliers, and documents.

How do I track addenda?

Each tender has an addenda counter on the main board. Tap the + button each time an addendum comes in and the running count updates immediately for your whole team.

Can I extend a bid closing date?

Yes. Open the tender's status menu and choose Extend. You can set the new closing date in a dialog. The status changes to Extended and the new date appears on the board.

What happens when a bid closes?

You can move the tender to Closed, then to Won or Lost once you know the outcome. Closed, Won, and Lost tenders are locked to prevent accidental edits — but a closed tender can be moved directly to Won or Lost from the status menu without unlocking first, since bid results typically come a few days after the closing date.

Sub-trades and suppliers

How do I add sub-trade or supplier quotes?

Expand a tender row and open the Contractors or Suppliers tab. Add a contact by name, trade category, and quote amount. You can also pull from your global contacts directory to avoid re-entering the same firms on every bid.

What is the contacts directory?

The directory is a reusable address book for your workspace. When you add a sub or supplier to a tender, you can save them to the directory and select them from the combobox on future bids.

Can I see which suppliers haven't quoted yet?

Yes. Suppliers without a quote amount appear in the list with an empty quote field, making it easy to scan for outstanding pricing before closing time.

Team and workspace

How do I invite my team?

Go to the Team page from the navigation menu. Enter your colleagues' email addresses and they'll receive an invitation link.

Are there different roles?

Yes — Admins and Members. Admins can manage team invitations, change workspace settings (including the GC vs. Trade workflow type), and perform other admin-level actions.

Is my data private to my workspace?

Yes. Every tender, contact, and document is scoped to your workspace. Other companies using Tender Tracker cannot see your data.

Project management

What happens to a tender after we win the job?

Won tenders appear in the Project Management view, which lists all your won jobs. Each project can carry a status of In Progress or Complete. Open the per-project dashboard to track labour costs, change orders, and shop drawings — all tied back to the original tender.

How does change order tracking work?

Inside each project dashboard, add change orders with a description, amount, and status (Pending or Approved). Approved change orders roll into the project's cost summary. Pending ones are surfaced separately so nothing gets overlooked.

What is the shop drawing log?

The shop drawing log tracks every drawing package through the review cycle. Log the date submitted, the engineer's review decision, any revision notes, and the return-to-supplier date. The full round-trip is visible at a glance.

Billing and account

How long is the free trial?

The trial is 30 days and includes full access to all features. No credit card is required to start.

What does Tender Tracker cost after the trial?

Tender Tracker is $49 per month per workspace. That covers your whole team — there are no per-seat fees.

Can I cancel anytime?

Yes. Cancel before your next billing date and you won't be charged again. Your data remains accessible for 30 days after cancellation.
